Estimated Appointment End Date (Continuous if Blank) February 20, 2023 Full/Part-Time Full time Job Type Regular Compensation Current vacancy: $41,600 per year plus benefits Job Description REPORTS TO: Administrator, Minerals Program FLSA STATUS: Non-Exempt JOB SUMMARY: Provides administrative support to the Minerals Program, while playing a key role as public information liaison to operators and citizens. SALARY: $41,600/year with health insurance, retirement contributions, and 3 weeks each of vacation and sick leave per year. ESSENTIAL JOB FUNCTIONS: Coordinates and maintains Minerals Program file databases; entering new information within 48 hours of receipt. Organizes and maintains the paper filing system of Minerals mining permits and inspection reports. Processes inspection reports (entering into database and filing) weekly. Maintains monthly summary reports on inspections and violation totals. Notifies operators of mining permit renewals and permit fee due dates at least 60 days before expiration and due date. Provides necessary documentation to clients. Completes daily correspondence, information to the public, the operators, and the inspectors and other priority tasks as directed by the Administrator. Processes information received by mail, e-mail, fax, phone, or in person and directs said information to the necessary personnel or database (i.e., file) within 24 hours of receipt. Supplies inspectors, operators, and interested parties with requested forms and/ or information within 24 hours of request. Handles projects, phone calls, and internal and external demands concurrently. Employee must exhibit a high degree of organization and independent problem solving. Exhibits professional demeanor and patience, which are crucial in dealing with steady stream of public inquiries and records requests. ADDITIONAL RESPONSIBILITIES: Broadcasts communiqué to field staff and assists with staff meeting logistics and materials. Performs all other duties assigned as directed by agency administration. EDUCATION AND EXPERIENCE: High school diploma. Preferred two years of experience performing a variety of complex clerical and data processing tasks. KNOWLEDGE, SKILLS, AND ABILITIES: Strong experience and skill with Microsoft Office; specifically spreadsheet, word processing applications, and database software. Excellent verbal and written communications skills with knowledge of business English and arithmetic. Establish and maintain effective working relationships with others. Strong interpersonal skills: able to work well with a wide range of people. Ability to coordinate records maintenance. Ability to handle confidential work with tact and discretion. Ability to follow oral and written instructions. Ability to work independently. PHYSICAL REQUIREMENTS This work is sedentary and requires the following physical activities: Sitting for long periods of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking, hearing, and visual acuity. Keyboarding or data entry for up to 4 hours per workday. Filing for up to 2 hours per workday: standing, occasional stretching, bending, squatting, kneeling or stooping to access bookshelves and filing cabinets. Lifting up to 35 pounds of paper supplies or minor office equipment. WORKING CONDITIONS: Normal office environment. Occasional travel may be required. Observe standard office hours 8 am to 4:30 pm.
