ROLE PURPOSE

Reporting to the Manager, Finance. The Payroll and Finance Administrator is accountable for compiling employee time and payroll data along with the routine calculations of figures pertaining to business transactions submitted by other workers.

ACCOUNTABILITIES

Payroll and Time & Attendance

  • Update and Maintain employee information related to payroll in Payroll system (WFN).
  • Verify and process forms and administrative documents of benefits, such as RRSP, and unemployment and medical insurance.
  • Managing electronic timekeeping systems or manually collecting and reviewing and approving timesheets
  • Compile employee time, production, and payroll data from time sheets and other records.
  • Prepare employee pay and statements of earnings and deductions.
  • Review payroll, work charts, wage calculations, and other information to identify and reconcile any discrepancy.
  • Providing information and answering employee questions about payroll-related matters
  • Prepare and reconcile period-end reports.
  • Compile statistical reports, statements, and summaries related to pay, hours work and benefits
  • Prepare weekly charges to manpower Agencies.

Accounts Payable and Receivable

  • Coordinate accounts payable and receivable tasks utilizing accounting software (Epicor).
  • Validate figures, postings, and documents for correctness, mathematical accuracy, and proper codes.
  • Follow the federal, state, and company policies, procedures, and regulations.
  • Receive, record, and bank cash, cheques, and vouchers.
  • Code documents aligning with company procedures.
  • Perform calculations, such as amounts due, discounts, commissions, and other customer charges.
  • Reconcile and report discrepancies found in records.
  • Complete and submit tax forms and returns, workers' compensation forms, pension contribution forms, and other government documents.
  • Calculate, prepare, and issue bills, invoices, account statements, and other financial statements according to established procedures.
  • Compile statistical, financial, accounting, or auditing reports and tables pertaining to such matters as cash receipts, expenditures, accounts payable and receivable.
  • Perform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables’ data
  • Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
  • Verify discrepancies by and resolve clients’ billing issues
  • Facilitate payment of invoices due by sending bill reminders and contacting clients
  • Prepare weekly and monthly reports.

QUALIFICATIONS

Education

  • You have a College Diploma in Accounting and Finance.
  • You have a certificate in Payroll Administration.

Experience

  • 1 - 3 years experience in Payroll administration
  • 1 - 3 years experience in Accounts Payable and Receivable
  • Experience with ADP and or other payroll software

Skills

  • Microsoft Office Suite – Level 2 – Advanced
  • Strong numerical aptitude and attention to detail
  • Excellent communication skills, both verbal and written
  • Good time management and organizational skills

Abilities

  • You have the ability to follow health and safety training.
