Property Administrator (100 Roehampton Avenue)

Reporting to the Property Manager, the Property Administrator is responsible for administration, including Account Receivable (A/R) and Account Payable (A/P) processing, and embraces the role of tenant liaison. What you will do:

Administration

  • Handles all telephone, email, and walk-in inquiries, complaints, or concerns from residents, ensuring top-tier customer service.
  • Processes suite rental applications, including conducting credit and reference checks.
  • Prepares new tenancy agreements and adjustment notices, as well as tenant charges.
  • Oversees parking and locker logs and ensures compliance with Toronto Building Registration requirements.
  • Trains and monitors the administrative procedures, maintaining updated rental and marketing reports for leasing and head office reporting
  • Crafts various correspondence, including letters to residents, building notices, memos, reports, and emails.
  • Manages both electronic and manual tenant records, along with performing additional office duties as needed.
  • Provides team support, including coverage for absent staff members.

Accounts Receivable

  • Manages daily deposits and reconciles accounts, making necessary adjustments.
  • Oversees tenant documentation and maintains open lines of communication with tenants.
  • Addresses general inquiries related to accounts receivable and prepares legal notices for landlords and tenants.
  • Prepares documentation for legal proceedings and maintains both electronic and manual filing systems.

Accounts Payable

  • Processes purchase and work orders promptly.
  • Prepares resident correspondence and manages invoices.
  • Responds to internal and external queries related to accounts payable.
  • Manages day-to-day accounts payable tasks, including the oversight of supplier invoices.

Who we are looking for:

  • Proficiency in accounting, financial management (Accounts Receivable & Payable), and strong software skills, particularly in MS Office.
  • Experience in residential property management and familiarity with relevant legislation (Residential Tenancies Act, Ontario Human Rights Code, Privacy laws) preferred.
  • Excellent customer service focus, coupled with superior planning, organizational, and multitasking capabilities.
  • Effective communication, interpersonal, and conflict resolution skills, with the ability to work well under pressure and meet deadlines.
  • Flexible team player with the capability to operate independently.
  • Must be eligible to work in Canada; subject to a criminal background check.
