The Grande Prairie Regional Hospital Foundation is led by a volunteer Board of Trustees charged with good governance, strategic direction, and a commitment to provide the best health and wellness patient centric care for our region.

The role of the Grande Prairie Regional Hospital Foundation staff and directors is to steward that commitment through fund development and creating a conduit between donor gifts and the necessary equipment, programs and services to serve the growing healthcare needs of the region’s residents.

This is done, in part, through the commitment to the Grande Prairie Regional Hospital Foundation’s Vision, Mission and Purpose which guides the Foundation’s strategic plan in campaign and fund development and constituent stewardship.

The Philanthropy Coordinator is the Foundation’s ambassador on Foundation and charitable organizational operations and is a member of the Philanthropy Engagement Team.  This is an entry-level position for the philanthropy sector with an opportunity to grow within the organization.

The Philanthropy Coordinator is responsible for the successful delivery of fund development activities that contribute to the annual campaign - including but not limited to events, third-party events, sponsorships and programs. The successful applicant will spend significant time in the community at events, as well as ensure program supplies are picked up and delivered as needed.

The Philanthropy Coordinator is responsible for the execution of event and project coordination as it relates to activities in the annual campaign.

RESPONSIBILITIES:

The key responsibilities of the Philanthropy Coordinator shall include:

Planning:

  • Create and maintain event tracking data including guest lists, dietary concerns, and invitee/attendee information.
  • Support the Philanthropy Engagement Officer – Annual in the initial stages of event planning, including researching venues, vendors and suppliers.
  • Help organize the logistics of the event, such as coordinating transportation and/or deliveries of event collateral.
  • Communicate with vendors to ensure that their services are delivered on time and as required.
  • Assist with set-up, breakdown, and ensuring that the event runs smoothly. This includes helping to manage timelines and troubleshooting any issues that arise during the event.
  • Assist with guest registrations, directing attendees, and providing customer service during the event.
  • Assist with follow-up tasks after events are completed such as returning items or scheduling pick-ups of items with vendors or donors.
  • Assist with hospital program support, such as picking up donations from donors and delivering to the appropriate units or areas.

Organizing:

  • Maintain an internal event schedule ensuring the appropriate team members are scheduled to attend.
  • Maintain and update donor and sponsor contact and recognition information.
  • Assist with donor correspondence such as preparing thank you cards and acts of appreciation to donors.
  • Assist with volunteer management and direction at events.
  • Consistently ensure that the donor life cycle is completed for all donors.
  • Support the daily and on-going needs of the philanthropy team of the GPRHF.
  • Support the daily and on-going needs of the Executive Leadership Team (ELT) for the GPRHF.
  • Collect wish list items and submit to partners for hospital programs.
  • Act as the first point of contact for event and program inquiries.
  • Connect the PEOs or ELT as appropriate with external stakeholders.
  • Actively engage in community and regional activities and events.
  • Fully support the needs of the Festival of Trees with the understanding that non-traditional office hours are in place during the month of November.
  • Other duties that arise to grow the capacity of the GPRHF annual giving campaign.

Controlling:

  • Prepare and submit RSVP guestlists to PEO – Annual or Director of Philanthropy as required.
  • Prepare and submit a post-event report detailing successes and shortfalls.
  • Other duties that arise to grow the capacity of the GPRHF.

  • Planning: Determine strategies that not only move the Foundation forward but sets it apart from other nonprofit organizations through effective goal setting, creating, and implementing action & operational plans, and evaluating the process and the results.
  • Problem-solving: Assess problem situations to identify causes, gather and process relevant information, generate possible solutions, make recommendations, and resolve the problem.
  • Strategic thinking: Assesses options and actions based on trends and conditions in the environment and the Foundation’s vision, mission, purpose, and shared values.
