JOB OVERVIEW

Reporting into the Director, Business Transformation, the Planning Specialist is responsible for the development, administration, maintenance, and the analysis of the processes necessary to develop and execute the organization’s operating plan.

The role will also provide support to the Director, Business Transformation in the areas of planning, reporting and materials development.

WHAT YOU’LL BE DOING:

1. Annual operating plan development and resourcing tool management.

  • Working closely with the Director, Business Transformation in the preparation of the annual operating plan.
  • Overall management of the organization’s planning and resource management tools.
  • Development of resources to build understanding of planning and portfolio management processes.
  • Provide training to leaders for usage of planning and portfolio management processes.
  • Coordinate and support leaders at all levels with the alignment, prioritization, resourcing and scheduling of organizational initiatives and resource requests.
  • Track the usage of the planning and portfolio management processes.
  • Obtain and analyze feedback from leaders and identify pain-points in order to plan ahead and improve the organization’s planning and resource management tools, including new feature development.
  • Engage in testing and release of updates to organization’s planning and resource management tools.
  • Assisting the Director, Business Transformation with developing materials to support planning, strategy development, process development, etc.
  • Assisting the Director, Business Transformation with the development and execution of training and communication plans related to organizational planning, resource and performance management.
  • Assisting the Director, Business Transformation with the development of meeting materials as needed.

2. Trend identification and analysis

  • Assisting the Director, Business Transformation with the development of reports related to trend analysis, performance management, and process effectiveness.
  • Development of reports, dashboards and other tools to enhance understanding of the current state, and to drive overall adoption and effectiveness of portfolio management processes.
  • Develop surveys to understand the user experience, and through effective analysis develop recommendations to address priority needs.

3. Business administration

  • Coordinating with leaders and other departments to ensure deadlines are met.
  • Taking and distributing meeting minutes and notes as needed
  • Assisting the Director, Business Transformation with scheduling of meetings and calendar management as needed.
  • Developing and managing the Business Transformation Office’s SharePoint site.
  • Actively contribute to our culture of justice, belonging, equity, diversity, and inclusion by ensuring that all staff feel represented and heard regardless of their gender, age, religion, ethnicity, and nationality or race.



QUALIFICATIONS:

  • More than 3 years, up to and including 5 years - similar or related general experience in progressively more important positions.
  • Post-secondary education such as acquiring a university degree in a relevant discipline. Requires a professional designation.
  • Experience in developing or supporting the development or monitoring of business plans
  • Experience working with senior management - developing executive level reports, memos and meeting materials
  • Experience in developing and delivering training sessions
  • Experience in process improvement for the purposes of efficiency or effectiveness
  • Experience in PowerPoint and Excel – design and development of diagrams and charts.
  • Bilingualism in English and French is an asset

  • Excellent communication and ability to comfortably lead meetings, prompt for conversation and answer questions on the spot with a variety of different stakeholders
  • Experience working in a team-oriented environment as well as ability to engage in independent work and operate with a decent level of autonomy
  • Ability to prioritize a busy workload
