We are seeking a highly organized and detail-oriented Office Administrator with Bookkeeping experience to join our small private psychology practice. As a Bookkeeping/Office Administrator, you will play a crucial role in ensuring the smooth operation of our office and supporting various administrative functions. As our office is small, you will be working independently in charge of daily operations. This position is Tuesday to Saturday. This is a great opportunity for someone who can work independently and has excellent organizational and communication skills.
Responsibilities:
- Perform general clerical duties, including but not limited to photocopying, scanning, and uploading documents
- Managing room bookings, schedules and supporting our contractor psychologists
- Maintain office cleanliness and organization
- Answer phone calls and respond to email inquiries in a timely manner
-Greet clients and marked them as arrived in Jane
- Manage direct billing, invoicing, and receiving payments from 3rd party insurers in Jane and QuickBooks Online
- Pull financial reports as needed in QuickBooks Online
-Reconcile bank/credit card statements in QuickBooks Online
- Manage contractor invoices for timely payment
- Maintain the Centre's website, blog, and social media accounts
Experience:
- Proven experience in an administrative and/or bookkeeping role
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficient in using office software such as Microsoft Office Suite (Word, Excel, Google Docs)
-Ability to manage time and tasks efficiently without supervision
- Strong understanding of QuickBooks Online
-Experience with Jane is an asset but not mandatory
- Excellent written and verbal communication skills
-Strong customer service and interpersonal skills
- Ability to handle confidential information with discretion
